Enquiry

Start with your idea.

Share the dates, guests and experiences you have in mind. Your Dubai coordinator takes it from there.

The Details
We take care of
  • Assign a named Dubai coordinator to the file
  • Read the brief against live availability rather than a brochure
  • Flag anything undeliverable on your dates before you quote your client
  • Say so plainly if a property or attraction is closed or restricted
We’ll need from you
  • Travel dates, or the window you are working to
  • Pax split — adults, children with ages, infants
  • Hotel standard and area, or the property if the client has named one
  • Whether this is FIT, a group, a series departure or a MICE programme
Quote

A plan. A private quote.

We bring the hotels, transfers and experiences together, with net rates quoted to your agency.

The Details
We take care of
  • Cost hotels, transfers, excursions, tickets and visas as one programme
  • Quote net, so your margin is yours to set and stays invisible to the client
  • State inclusions, exclusions and what is on request rather than confirmed
  • Offer the alternative when a first choice is tight on your dates
We’ll need from you
  • Board basis, room configuration and any bedding requirement
  • The client's must-haves, and what they will trade away under pressure
  • Your quoting deadline — an honest one beats an optimistic one
  • Any competing quote's inclusions, if you want a like-for-like comparison
Confirmation

Every detail, in place.

Confirm the programme. We coordinate reservations, documents and the timings that make it all work.

The Details
We take care of
  • Confirm what is held and name what is still on request
  • Give you the operative dates for rooming lists and final numbers
  • Raise the visa file as soon as passports are in, not on the eve of travel
  • Re-quote openly if a supplier moves, rather than silently substituting
We’ll need from you
  • Written confirmation from your side, with the client's names as passported
  • Passport scans and photographs early, if visas are ours to process
  • Rooming list with sharing, bedding, billing routing and special requests
  • One decision-maker on your side for the file
On the ground

Let the memories begin.

Our team welcomes your guests and looks after the journey, from the airport to the last excursion.

The Details
We take care of
  • Meet the flight, hold the name board and dispatch to the vehicle
  • Run transfers, excursions and evening movements to the manifest
  • Handle hotel liaison — group check-in, key packs, billing routing
  • Answer the phone through the night when a flight slips or plans change
We’ll need from you
  • Final flight details, including any change after ticketing
  • A reachable emergency contact on your side, in your time zone
  • Anything sensitive we should know — mobility, medical, dietary, VIP
  • Your preference on whether we speak to the client directly, or only to you
After

Until the next journey.

We gather feedback, reconcile the file and keep the useful details ready for your next departure.

The Details
We take care of
  • Reconcile the programme against what was actually delivered
  • Report incidents and shortfalls to you before your client reports them
  • Log what worked — driver, guide, hotel floor, dispatch timing — for the repeat
  • Hold the file so a returning client is not re-quoted from a blank page
We’ll need from you
  • Client feedback, including the unflattering kind
  • Your next departure dates while the detail is still fresh
  • A note of any commercial term you want revisited before the next contract

Get to Know Forever Journeys

Forever Journeys Tours LLC is a Dubai destination management company. We do not sell to your client and we do not compete for your booking — we contract the hotels, vehicles, guides, tickets and visas your Dubai programme runs on, quote them net to you, and operate them on the ground under your brand. The head office is on Khalid Bin Waleed Street in Bur Dubai, a short drive from the airport and from most of the hotels we hold; the company has been trading since 2016 and also keeps offices in Gurgaon, Ahmedabad and Kullu.

There are no rates on this website, and there will not be. A net rate is the gross rate less commission — the number a trade buyer pays before adding its own margin — and it is contracted per agency, per season and per volume. There is no single figure to publish, and posting one would undercut every partner holding a different contract. So the price list here is a coordinator: send dates, pax, board basis and the shape of the group, and a quote comes back against your account rather than against a public grid.

The desk handles four operating rhythms, and they are genuinely different jobs. FIT moves one file at a time and is won or lost on turnaround. GIT is a fixed date, a fixed itinerary and a coach that has to be the right size. Series is the same arrival pattern repeating across a season, which is where allotment, release dates and rooming-list discipline start to matter. MICE and incentives are a programme rather than an itinerary — venues, room blocks, a gala night, a dispatch plan and somebody standing in the lobby at six in the morning counting heads.

Some of what a DMC does cannot be done from outside the country at all. GDRFA Dubai states that the sponsor or host in the UAE for a single-entry tourist visa should be an establishment working in the field of tourism, and that only accredited tourism offices in the emirate can issue this kind of visa — which is a regulatory fact rather than a sales line, and the clearest reason an overseas agent needs a licensed local partner. Ground delivery is the other reason: contracted rooms, licensed guides, our own vehicles and one number that is answered when a flight diverts at three in the morning.

Coverage is all seven Emirates on one licence — Dubai and Abu Dhabi as the volume, then Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah and Fujairah for the itineraries that need a second act. One entity holds the contract, so a hotel change on day two, a coach swap and a re-timed excursion are one team's problem rather than three suppliers'. If you want to see the inventory before you enquire, the hotel list is published in full, including the properties currently closed for refurbishment that nobody should be selling.

YOUR TRAVEL DESK COMPANION

Travel talk, made simple.

From FIT to rooming lists. The useful vocabulary, all in one place, whenever you need it.

Who's who7 terms
DMCDestination management company

A locally based, licensed company that provides ground services — accommodation, transfers, transport, tours, guides and event logistics — to travel agents, tour operators, OTAs and corporate clients. A travel agent sells the trip to the public; a DMC is the B2B partner that delivers the arrangements the trip depends on.

On a Dubai file: In the UAE the licence is the point. Only an accredited local tourism establishment can sponsor a tourist visa, so the DMC is a regulatory requirement on most inbound files rather than a convenience.

Receptive operatorAlso inbound operator

An agency specialising in tour packages for international travellers arriving in a given destination — the receiving end of the chain. Dubai's Department of Economy and Tourism licenses inbound tour operation as a distinct category, separate from outbound, from travel and tourism agency and from airline general sales agency.

Tour operator

A company that develops tour programmes and travel experiences comprising all the elements — transport, accommodation, attractions, tours and meals — and sells them as a package.

Wholesaler

An intermediary between supplier and buyer that develops itineraries and programmes and distributes them onward to the retail trade rather than to the public.

FITFully independent traveller / fully independent tour

Individuals, couples or families who travel on their own rather than as part of an organised group, and who book through a travel professional rather than off a set departure. Each file is planned and quoted on its own.

On a Dubai file: FIT is booked ad hoc and is rate-sensitive per booking, so it lives or dies on turnaround. It is the opposite operational discipline from series.

GITGroup inclusive tour

Group travel where individuals buy a group package and travel with others on a pre-set itinerary — a set date, a set inclusion list and a set programme. Trade practice usually treats a group as starting somewhere around ten to fifteen people.

On a Dubai file: Because the date is fixed ahead, a GIT can be resourced and rate-locked. Most Dubai excursion product is built around this format.

Series group

Regular repeating groups — organised travel over multiple dates, typically arriving on the same day each week for an agreed period, with the same organiser but different travellers each time.

On a Dubai file: Series is the most valuable inbound business a DMC can hold, because predictable volume is what justifies contracted allotment and dedicated vehicles. It also carries the most exposure if the season underperforms — which is why the terms behind it are agreed in writing per account.

Rates & money4 terms
Net rate

The gross or best-available rate less commission: the price offered to a trade buyer before that buyer adds its own margin for resale to the public.

On a Dubai file: Net rates are contracted per agent and per season, which is precisely why no DMC can publish a price. There is no single number, and posting one would undercut every agent holding a different contract.

Gross rateAlso best-available or rack rate

The price the consumer pays. Rack rate is the standard published daily rate a hotel establishes for its rooms — the number on the hotel's own website.

Commission

The fee paid to an intermediary for marketing and selling a product to the end consumer, usually expressed against the best-available rate. In a net-rate model the equivalent is the margin the trade buyer adds on top of the net price.

On a Dubai file: Working on commission off gross and working on margin over net are different jobs — they change how you quote and how you protect the client relationship. Agree which model applies before the first file, not after it.

Land arrangementAlso land only

Everything in a programme except the international air: accommodation, transfers, ground transport, guides, excursions, tickets and meals. Quoting land only lets the agent ticket the flights itself.

On a Dubai file: Most inbound Dubai business is quoted land only. If flights are yours, tell us the arrival and departure times early — they set the whole first and last day.

Inventory4 terms
Allocation

A pre-negotiated number of rooms, places or seats held by a tour operator or wholesaler for sale.

Allotment

A block of pre-negotiated hotel rooms or carrier seats held by a travel organiser with real purchasing power. The contract reduces the supplier's risk of unsold product and gives the organiser a price advantage. Inventory not contracted this way is handled on request, where every booking has to be confirmed with the supplier before it can be confirmed to the client.

On a Dubai file: Holding allotment is what lets a group be confirmed instantly instead of going back to the hotel each time — and it is a liability if the series does not fill. What is held on any given account is a contract matter, agreed in writing, not a published number.

Release periodAlso release date, cut-off

The point negotiated inside an allotment contract by which the organiser must have used its held inventory. Unsold rooms or seats are released back to the supplier at the release date, which typically falls a set number of days before arrival.

On a Dubai file: The release date governs the whole group calendar: rooming lists and final numbers must land before it, or the inventory is gone and the group is re-quoted against whatever is left. The actual period varies by property, season and contract — ask for it in writing on every group, from any DMC.

On request

Inventory that is not contracted in advance, so each booking must be confirmed with the supplier before it can be confirmed to the client. The opposite of a free-sale allotment.

On a Dubai file: A quote that does not distinguish confirmed from on-request is not a quote. Ours says which is which, line by line.

Operations6 terms
Rooming list

The operational document that assigns each named guest in a group to a specific room. A single reservation covers the group and the rooming list tells the hotel who stays where — carrying arrival and departure dates, room types, bedding and sharing, billing instructions, loyalty numbers, special requests such as adjoining rooms or accessibility needs, and any shoulder nights. Standard practice from roughly ten rooms upward, and increasingly used for smaller VIP blocks.

On a Dubai file: This is the hand-off point between sales and operations. Late or inaccurate rooming lists are the single most common cause of a group check-in falling apart.

Ground handling

The umbrella term for everything a DMC arranges once travellers reach the destination: arrival and departure management, transfers and coaches, hotel liaison, guides, excursion delivery, reservations, visas where required, manifest control and a 24-hour on-ground contact for the duration of the programme.

On a Dubai file: Ground handling is invisible when it works and catastrophic when it does not, so it is bought on evidence of process rather than on price.

Meet and greet

A representative meeting the guest inside the terminal — at the aircraft door, at immigration or in the arrivals hall depending on the service level — and escorting them through the formalities to their vehicle. Fast-track through immigration is a separately purchased airport service, not something a DMC can conjure.

On a Dubai file: Specify the meeting point contractually: meet and greet means five different things across five suppliers. For a group the value is not the greeting but the dispatch plan — who waits, who goes, how late arrivals are handled and who holds the manifest.

MICEMeetings, incentives, conferences and exhibitions

The business-tourism segment covering planned corporate and association events. The DMC is the party executing the programme on the ground — venues, room blocks, transport, production, staffing and the single accountable contract across many suppliers.

Incentive travel

The 'I' in MICE: a travel programme awarded by a company to reward and motivate employees, distributors or partners. In practice it means bespoke programme design — experiences that cannot simply be bought online — plus welcome functions, gala dinners and excursion days delivered by one on-ground team.

FAM tripFamiliarisation trip

A hosted trip that lets a trade buyer or journalist experience the product first hand before selling or writing about it.

LET’S CLEAR A FEW THINGS UP

Before we
take off.

And we’re only a message away.
What exactly is a DMC, and how do agents work with you?

A Destination Management Company is your licensed operator on the ground. You sell the trip to your client; we contract the hotels, transport, guides and experiences and run it in Dubai on your behalf, under your brand.

Why aren't rates shown on the site?

Because they're net and contracted per agent. Rates move with season, allocation and volume, so we quote them privately against your exact dates rather than posting a number the market can screenshot.

Do you handle FIT, GIT and series groups?

All three — independent travellers, ad-hoc groups and fixed series departures. Room blocks, coach allocation and step-on guides scale from a couple to a full coach.

Can you run MICE and corporate events?

Yes. Meetings, incentives, conferences and events end to end — venues, room blocks, transfers, gala dinners and on-ground crew, with a single coordinator across the programme.

What are your payment terms and currencies?

Multiple payment modes and terms for established agent partners, settled in AED or INR. We'll confirm terms with your first quote.

How quickly do you quote, and is there support during travel?

Quotes typically same or next working day. During travel someone always picks up — a flight delayed at 3am or a guest changing a tour gets an answer, not an inbox.
